GP details (if clinically appropriate)

Sensitive information

Information shared in therapy sessions (securely stored by therapist)

Background and mental health information

Any notes made to support your therapy

Signed consent forms

Technical information

Emails and messages sent

Young Individual Therapy

Guardians name and contact details

3. Why Your Information Is Collected

Provide counselling safely and ethically

Ensure safeguarding standards are met

Arrange appointments and communicate with you

Maintain clinical records (a legal and professional requirement)

Ensure safety in case of risk of harm

4. How Your Information is Stored

Electronic records are stored securely using encrypted, password-protected systems.

Session notes are stored separately and securely.

Only Still Ocean Therapy has access to your information unless a legal or safety requirement apply.

5. How Long I Keep Your Information

Your counselling records are kept for 6 years after therapy ends, in line with insurance and professional guidance. After this, they are securely deleted or destroyed.

6. When Information May Be Shared

I will not share your information with third parties unless:

You give explicit consent

It is required by law

You or someone else is at serious risk of harm

For the purposes of clinical supervision (who is also bound by confidentiality)

7. Your Rights

You have the right to:

Ask to correct inaccurate or delete data (under certain circumstances)

Restrict or object to how your data is used

Make a complaint to the ICO (ico.org.uk)

8. Online Therapy Platforms

For online sessions, Google Meet is used, which provides end-to-end encryption. No data is collected

or stored from this platform. Please review their privacy policy for how they handle your data.
